The Valley Care Pregnancy Centre is not a medical clinic. But because the Office of the Information and Privacy Commissioner for Nova Scotia strongly recommends that non-profits voluntarily adopt the ten Fair Information Principles outlined in PIPEDA as a framework for internal privacy policies, the Valley Care Pregnancy Centre seeks to comply with this recommendation in the following ways:


1. Accountability The Valley Care Pregnancy Centre (VCPC) is responsible for all personal information under its control. The Executive Director serves as our designated Privacy Officer and is accountable for our compliance with this policy.


2. Identifying Purposes We collect personal information for the following specific purposes:
•    Donors: To process donations, issue tax receipts, and keep them informed of our work.
•    Guests (Clients): To provide requested peer support, educational resources, and schedule appointments.
•    Volunteers/Staff: To manage schedules, screen applicants, and ensure safety.


3. Consent We will obtain your consent to collect, use, or disclose personal information. Consent may be implied (e.g., when you fill out a 'Request an Appointment' form) or express (e.g., signing a waiver). You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice.


4. Limiting Collection We limit the collection of personal information to that which is necessary for the purposes identified. We will not collect indiscriminate data.


5. Limiting Use, Disclosure, and Retention
•    No Sale of Data: We do not sell, trade, or rent our donor or client lists to any third parties.
•    Use of Aggregate and Non-Identifying Information: VCPC may remove identifying details from personal information to create anonymous, aggregate data (e.g., statistical information regarding the number of clients served or general demographic trends). Once data is fully anonymized and cannot be linked back to a specific individual, it is no longer considered personal information. This non-identifying data may be used for grant applications, annual reports, and donor communications.
•    Third-Party Service Providers: We may share limited data with trusted service providers (e.g., donor management software) solely for the purpose of helping us do our work. These providers are bound by confidentiality agreements.
•    Retention: We retain personal information only as long as necessary to fulfill the purpose for which it was collected or as required by law.


6. Accuracy We will make reasonable efforts to ensure that personal information is accurate, complete, and up to date. Donors and clients are encouraged to contact us to update their information.


7. Safeguards We protect personal information with security safeguards appropriate to the sensitivity of the information:
•    Physical: Locked filing cabinets and restricted office access.
•    Technical: Secure passwords, firewalls, and encrypted servers.
•    Procedural: Access is limited to staff and volunteers who "need to know" to perform their duties.


8. Openness We are open about our policies and practices. This policy is available to the public on our website and in print upon request.


9. Individual Access Upon written request, you will be informed of the existence, use, and disclosure of your personal information and will be given access to it. You may verify its accuracy and request corrections.
